How to Manage NDIS Physiotherapy Billing Step by Step
NDIS · Billing & Invoicing
Most NDIS billing confusion comes down to one thing: who sends the invoice, and to whom. Get that clear at the start and the rest — travel, cancellations, reports, plan reviews — follows a predictable path.

Who pays, by plan type
| Plan management | Who receives the invoice | Your involvement |
|---|---|---|
| Agency-managed | Claimed by the provider through the NDIS portal | None — but the provider must be NDIS-registered |
| Plan-managed | Sent to your plan manager | Give the provider your plan manager’s billing email |
| Self-managed | Sent to you | You pay, then claim through the myplace portal |
Hopevana has been NDIS-registered since 2020, so all three arrangements are available. If your plan is agency-managed, registration is not optional — only registered providers can claim through the portal.
The service agreement
Before treatment starts you should have a written service agreement. It is not red tape; it is the document that prevents disputes later. A reasonable agreement states what will be delivered, how often, the hourly rate, how travel is charged, the cancellation terms and how either party ends the arrangement.
Read the cancellation and travel sections specifically. Those are where unexpected charges come from.
What a compliant invoice shows
Participant details
Name and NDIS number, so the plan manager or portal can match the claim.
Service details
Date, duration, the support item used and the rate charged for it.
Provider details
Business name, ABN, registration details and bank details for payment.
Travel, listed separately
Shown as its own line rather than folded into the session fee.
Travel and cancellations
Both are governed by the NDIS Pricing Arrangements and Price Limits, which the NDIA publishes and updates periodically. Provider travel to a home visit is claimable within the limits those arrangements set, and the document also defines the notice period for cancellations and what a provider may claim for a short-notice cancellation.
Because those rules change from time to time, the honest answer to “how much is it?” is that it follows the current arrangements — which is exactly why your service agreement should spell out how they are applied to you. Ask for it in writing before the first appointment.
Keeping the funding on track
Common problems and how to avoid them
Three things cause most billing trouble. Invoices sent to the wrong place, usually because the plan manager changed and nobody told the provider. Sessions booked past the end of a plan, which leaves an invoice with no funding behind it. And assumptions about what the plan covers, made without checking the wording.
Tell your providers when your plan changes. A new plan dates, a new plan manager or a switch in management type all affect how invoices must be sent. A single email at the time prevents weeks of chasing.

Frequently Asked Questions
Does my physiotherapist have to be NDIS-registered?
Only if your plan is agency-managed — those claims go through the NDIS portal and only registered providers can submit them. Plan-managed and self-managed participants may use unregistered providers, though many prefer registered ones.
Who do I give my plan manager’s details to?
Your provider, before the first appointment. The billing email is the one that matters, and it should be written into your service agreement.
Is travel charged separately?
Yes. Provider travel is claimable within the limits in the NDIS Pricing Arrangements and Price Limits, and it should appear as its own line on the invoice rather than being built into the session fee.
What happens if I cancel at short notice?
The pricing arrangements define the notice period and what a provider may claim for a short-notice cancellation. Your service agreement should state how those terms apply to you, so ask for it in writing beforehand.
What if my funding runs out mid-plan?
Treatment cannot continue to be claimed against an exhausted budget. Review the remaining balance with your therapist and plan manager early and adjust session frequency, or discuss a plan review if your needs have changed.
Can I get a report for my plan review?
Yes. Ask well before the review date so it can be written properly, documenting progress against goals and what support is recommended going forward.
